For home or office?

The sin­gle most use­ful way to clas­si­fy MFPs is to clas­si­fy them by pur­pose: home, office, or both. If you’re look­ing for a home MFP, you prob­a­bly care about pho­to qual­i­ty, which means an inkjet print­er is a must-have among the fea­tures. Also, if pho­tog­ra­phy is your pri­ma­ry inter­est and you’re look­ing for a way to print from vir­tu­al­ly any source, you need a pho­to lab MFP. True, there are sev­er­al options in this sub­cat­e­go­ry: you can iden­ti­fy them by their abil­i­ty to scan slides and film strips, which most MFPs over­look.

Functions and Features

Going beyond the gen­er­al notions of home and office MFPs, it’s help­ful to make a list of the fea­tures you real­ly need. Print­ing, scan­ning, and copy­ing is a giv­en, but even those basics aren’t as easy as you might think. For exam­ple, some MFPs are lim­it­ed to scan­ning over a USB con­nec­tion. If you plan to con­nect via a net­work, make sure that this func­tion is pro­vid­ed by the MFP. The abil­i­ty to scan trans­paren­cies is unusu­al enough that it is often sin­gled out as a sep­a­rate fea­ture. Be sure to check the dimen­sions that the MFP can han­dle; trans­paren­cies are often lim­it­ed to 35mm.

The fax fea­ture almost always includes offline trans­mis­sion, which you con­trol using the MFP’s key­board. But it does­n’t nec­es­sar­i­ly include PC Fax — fax­ing doc­u­ments direct­ly from your com­put­er with­out hav­ing to print them first. Be care­ful if this fea­ture is impor­tant to you. Email fea­tures also come in two forms. The Direct Email fea­ture allows you to scan and send email direct­ly to your Inter­net Ser­vice Provider (ISP) or inter­nal mail serv­er on your net­work. The most com­mon option for low-end MFPs is to open an email mes­sage on a PC and add the scanned doc­u­ment as an attach­ment.

Most MFPs include flatbeds suit­able for scan­ning pho­tos or sin­gle-page doc­u­ments. The Auto­mat­ic Doc­u­ment Feed­er (ADF) lets you eas­i­ly scan (as well as copy, fax and e‑mail) mul­ti­page doc­u­ments.

Color print

If you nev­er print in col­or, then there is no rea­son to spend mon­ey on this fea­ture. How­ev­er, keep in mind that many col­or laser MFPs can print at fair­ly high qual­i­ty. This will allow you to print your own mar­ket­ing mate­ri­als, which is cheap­er than print­ing from a print shop.

Printer size

MFPs tend to be larg­er than sin­gle-func­tion print­ers. And some home MFPs can be so tall that they tow­er over you when placed on a table. Be sure to check the size and weight of the MFP, although you prob­a­bly won’t be mov­ing it very often.

Connection option

In addi­tion to a USB port, many MFPs include Eth­er­net and/or Wi-Fi con­nec­tions for easy shar­ing. If you pre­fer Wi-Fi, keep in mind that if you must have a wire­less access point on your net­work. Some MFPs now include Wi-Fi Direct, allow­ing com­pat­i­ble devices to con­nect to them with­out the need for a wire­less hotspot.

Quality and Quantity

In addi­tion to check­ing the print qual­i­ty, you may need to check the scan qual­i­ty. This is not a prob­lem for offices, because almost any scan­ner can scan doc­u­ments with high enough qual­i­ty. When cal­cu­lat­ing the duty cycle and input required for the MFP, be sure to add copies and incom­ing fax­es to the total num­ber of pages you will be print­ing.
